In this position, you support the Signature Service Manager in a range of administrative and secretarial support activities. You assist with the planning and coordination of management activities. The Signature Service team of experts responds to the specific needs of members by providing comprehensive, integrated, distinctive and exclusive services, taking complete charge of members' financial needs.

Main responsibilities

  • Support the Signature Service Manager and other managers in coordinating and monitoring their schedules, phone calls, emails and mail.

  • Coordinate the delivery of various files to the Management Committee, Coordination Committee and other committees.

  • Prepare for and attend various meetings, including those of the Management Committee. Take minutes and follow up with any business that arises.

  • Participate in organizing logistics for various events (e.g., team meetings, committees, training courses, telephone conferences, travel, public relations activities).

  • Provide support in carrying out various internal and external communications activities (e.g., employee meetings, marketing or promotional activities).

  • Perform various internal management administrative tasks (e.g., tracking sales, dashboard, monitoring expense accounts, managing inventory and equipment, employee files, performance evaluations, invoicing, budget management).

  • Manage documents and the updating of records (e.g., filing, purging and storage) in accordance with current practices and regulations.

  • Perform various secretarial duties including drafting, formatting, updating, creating and performing linguistic revision of information documents.

  • Support the Signature Service Manager and other managers in retrieving information, carrying out business processes and using information systems.

Qualifications

  • Diploma of vocational studies in an appropriate field

  • At least 3 years of relevant experience

Other combinations of qualifications and relevant experience may be considered.

  • For positions available in Quebec, note that knowledge of French is required.

Specific knowledge

  • Strong writing skills (spelling and grammar)

  • Knowledge of the philosophy and operations of financial services cooperatives

  • Knowledge of service standards

  • Knowledge of budgeting systems
