Administrative Assistant - Health Service

Under the supervision of the Head, Labor Relations and Health and Safety, the incumbent works in collaboration with the advisers of the Health Service and performs various tasks related to the activities specific to their service.

Details of responsibilities :

  • Assists and performs various clerical tasks for the human resources department;
  • Assists and performs various tasks in carrying out health and wellness activities;
  • Compose, write and format various correspondences or any other relevant document based on verbal instructions;
  • Performs layout using a system of word processing various correspondences, tables, reports, decision-making summaries, projects, forms and other documents; and keeps the corresponding files up to date;
  • Seizes the information in the Tandem software in particular, the history of situation, CNESST and invalidity files and carries out the digitization of the files;
  • Receives and routes telephone calls; takes messages, receives and directs visitors; operates, as required, various office machines for everyday use;
  • Receives, opens, sorts and routes mail;
  • Opens and prepares Health Service files and performs regularly digital filing of documents;
  • Complements and maintains various reports from human resources, the Health Service;
  • Prepares relevant documents related to the activities necessary for the administration of services;
  • Performs various data entry and validation work, as required, on request;
  • Plans, coordinates, convenes and performs meetings or appointments follow-up in collaboration with the other services, when necessary;
  • Performs, on request, all other related tasks.

Requirements:

  • Completed high school diploma
  • DEP in secretarial or professional training in medical secretarial (ato ut)
  • Two (2) years of experience as an administrative assistant and three (3) years of experience in medical secretarial (asset)
  • Typing (45 words net / minute)
  • Excellent French grammar
  • Proficiency in text writing
  • Proficiency and knowledge of Office Suite software (Word, Excel, PowerPoint, Outlook)
  • Knowledge of Virtuo
