Position: Part-Time Executive Assistant Location: 100% remote with occasional presence at the West Island Office

A solid and well-established company is seeking an Executive Assistant. They are offering a salary between $20 and $25 per hour based on experience with a part-time schedule of 4 hours per day (between 8 a.m. and 5 p.m.).
In this role, you will be functioning as the right-hand to Senior Management, performing a variety of administrative tasks and interacting with various internal and external clients. You will be working mostly from home with occasional work in the office.
The following is an overview of the tasks:
- Managing the calendar and appointments - Preparing announcements - Scheduling and setting up meetings on MS Teams - Discreetly managing confidential or highly sensitive information - Answering phone calls and managing correspondence in English (mostly) and French (rarely) - Creating and updating information in the database - Researching and performing online searches and sourcing - Performing background and reference verifications - Preparing documentation, letters and agreements (from templates) - Maintaining electronic filling and uploading documentation to the database - Following up on time sheet discrepancies and resolving them with the payroll department - Requesting ROEs (Records of Employment) and terminating temporary placements in the system - Sending online assessment tests to applicants and for clients - Performing status updates with candidates by phone, email and updating their status information in the database - Maintaining information in various client virtual management systems - Executing various other administrative tasks to support the role
- At least 5-7 years of administrative support at the director level - Fluency in English with excellent oral and written communication skills; French is an asset - Strong written skills to be able to compose professional emails and other correspondence representing at the director level - Highly organized, dependable - Discretion and ability to manage highly confidential and sensitive information - Very customer focused, friendly and diplomatic - Ability to work autonomously, quickly and efficiently while working with deadlines
