Salary: $60,000 to $75,000 per year, depending on experience

We are looking for an organized, proactive, and versatile individual to assist the owner with daily tasks, while also supporting the team with various administrative and coordination duties. Job Description The Executive Assistant and Administrative Coordinator will play a key role in supporting management activities and ensuring the smooth operation of internal processes. The successful candidate must be able to manage multiple files simultaneously, maintain rigorous follow-up, communicate effectively with various departments, and contribute to improving the overall organization of the company. We are looking for someone with solid experience in SMEs, who can adapt quickly and understand priorities. of a business owner and actively contribute to the team's daily efficiency.

Main Responsibilities

  • Assist the owner with their daily tasks, follow-ups, and priorities.
  • Follow up with various internal departments.
  • Prepare, organize, and update administrative documents.
  • Participate in the coordination of projects, meetings, timelines, and internal follow-ups.
  • Help structure information between teams to improve communication.
  • Follow up with certain suppliers, partners, or clients when necessary.
  • Prepare spreadsheets Follow-up, task lists, reports, or internal documents.
  • Support the administrative team in various daily tasks.
  • Participate in improving internal processes and work organization.
  • Ensure effective management of priorities and urgent requests.
  • Maintain clear communication between management and team members.

Desired Profile

  • Minimum5 years of experience in an SME, ideally in an executive assistant, administrative coordinator, or operations support role.
  • Experience in an environment Entrepreneurial, dynamic, and growing.
  • Ability to work directly with an owner or management team.
  • Excellent organizational skills and meticulous follow-up.
  • Strong autonomy and excellent initiative.
  • Professionalism, discretion, and sound judgment.
  • Excellent communication skills.
  • Ability to manage multiple files simultaneously and prioritize effectively.
  • Proficient in computer applications, including Excel, Word, Outlook, and collaborative tools.
  • Bilingualism (French/English) is a significant asset.

Working conditions and Benefits

  • Permanent, full-time position.
  • Monday to Friday, 8 a.m. to 5 p.m.

  • 2 weeks of vacation in the first year.
  • 3 weeks of vacation starting in the second year.
