DESCRIPTION GÉNÉRALEDU POSTE

Sous l’autorité de la secrétaire en chef et responsable des archives, le·la secrétaire médical·e est responsable de l’ensemble du processus du programme opératoire et du suivi des dossiers médicaux. Iel répond à diverses demandes de secrétariat. Le poste nécessite un haut niveau de confidentialité et une collaboration étroite avec le CMC, l’Asclépiade et les secrétaires des bureaux des chirurgiens·nes.

DESCRIPTION DÉTAILLÉE

Dossiers en préopératoire:

Préparer le programme opératoire préliminaire pourl ’anesthésiologiste et le·la chef du bloc opératoire ainsi que son adjoint·e pour le lundi matin;
Préparer un programme sans nom pour les différents départements ;
Finaliser le programme opératoire officiel pour le mercredi en fin de journée et l’envoyer aux secrétaires des chirurgiens·nes;
Procéder à l’entrée des coordonnées ainsi que certaines données du·de la patient·e (type de chirurgie, nombre de nuits, allergies, etc.) à partir de la requête opératoire reçue des bureaux des chirurgiens·nes. S’assurer d’avoir les noms des anesthésiologistes pour chaque salle ainsi que l’heure d’entrées des patients·es;
Préparation de la liste des pathologies de la semaine suivante
Compléter le tableau du programme opératoire virtuel pour les écrans aux bloc opératoire
Distribuer le programme opératoire officiel (par impression et par courriel) le jeudi;
Procéder à l’impression et à la vérification des dossiers patients·es avant leur arrivée;
Procéder à l’impression des étiquettes (identification, labos et protocoles);
Préparer les formulaires ainsi que les étiquettes pour envoyer en pathologie;
Sortir et jumeler les dossiers antérieurs des patients·es déjà venus au CMC (non numérisés),faire le transfert dans le système d’archivage « Docushare/dossier préop » et l’indiquer au programme opératoire.
Dans les cas d’ajout ou d’annulation de chirurgies, transmettre l’information aux personnes concernées. Dans le cas d’ajout, imprimer un dossier pour le·la patient·e ainsi que les étiquettes et le donner à l’UDS;
Mettre une nouvelle version du programme opératoire sur le réseau si le changement est apporté après l’envoi officiel et remettre une copie aux personnes et services concernés·es;
Effectuer le suivi auprès des secrétaires pour le programme opératoire de la semaine à venir;
Effectuer le suivi auprès des secrétaires pour les laboratoires et autres documents pertinents au dossier patient·e;

Dossiers en post-opératoire:

Vérification et traitement des changements du programme réel de tous les jours
Vérifier chaque dossier et s’assurer qu’il n’y a pas de formulaires manquants, présentement faits dans la mise en place de la numérisation des dossiers;
Faire le suivi de la pathologie envoyée (auprès de l’hôpital Fleury et du Sacré-Cœur ou secrétaires des chirurgiens·nes);
Numériser et envoyer les rapports de pathologie aux secrétaires;
Classer les dossiers après la fermeture complète de ceux-ci;
Préparer le programme opératoire final Trans pour l’Asclépiade (suivis systématique)

Divers :

Remettre, tous les mois, le registre de la liste des produits facturés aux chirurgiens·nes (soutien-gorge, gaine) à l’infirmier·ère adjoint·e de l’UDS;
Répondre aux demandes de la comptabilité (information sur les patients·es, vérifications d’information, etc.) et extraction dans le logiciel CTRL;
Faire les entrées de données (complications,antibiothérapie, cas d’urgence, etc.);
Commander certains formulaires auprès du gouvernement :serviceentreposage@ssss.gouv.qc.ca;
Obtenir une lettre d’autorisation pour divulgation de renseignements personnels, ainsi que le paiement de frais d’administration auprès des demandeurs·ses pour dossiers patients·es (avocat·e, patient·e,compagnie d’assurance);
Répondre aux demandes internes de consultation de dossier set s’assurer de maintenir à jour le registre de consultation ;
Traitement des télécopies entrants ;

Archives :

Tenir à jour le registre des patients·es et des implants;
Suite à la réception des rapports de pathologie, mettre au dossier patient·e et donner une copie à la comptabilité pour le paiement des pathologistes. (Sur chaque rapport de pathologie, il doit être indiqué la province du·de la patient·e ainsi que sa chirurgie, car le service des comptes payables tient à jour une liste de patients·es pour ne pas payer les frais au pathologiste en double;
Préparer(mettre en boite) et vérifier les dossiers pour la numérisation faite à l’extérieur(quatre fois par année);
Valider le travail de la compagnie de numérisation selon notre politique de gestion des dossiers. (c.-a.-d. l’exactitude des données au dossier). Entre 25 et 50 dossiers à vérifier;
Effectuer toutes autres tâches connexes demandées par son·sa supérieur·e immédiat·e.

Le Centre Métropolitain de Chirurgie est le seul hôpital privé au Québec accrédité avec mention d’honneur par Agrément Canada détenant 17 lits avec 4 salles de chirurgie. Depuis 1973, il privilégie le respect des normes de performance de soins, de qualité et de sécurité du client. Les soins offerts au CMC sont prodigués dans un esprit d’accompagnement du patient et d’unicité de son expérience. La confidentialité, l’humanisme, l’écoute, et le respect de l’environnement du patient sont des préoccupations constantes au sein de l’Organisation. Notre Mission

Le Centre Métropolitain de Chirurgie s’adresse à une clientèle privée. Sa priorité consiste à assurer un haut niveau de qualité de soins et de services tout en répondant aux standards les plus élevés en matière de continuité des services de santé et de sécurité. Ses activités sont principalement les chirurgies d’affirmation de genre, mais aussi des chirurgies esthétiques électives et reconstructives, des chirurgies bariatriques par laparoscopie, des chirurgies urologiques et des chirurgies oto-rhino-laryngologiques. De plus, le CMC offre les soins requis par les chirurgies grâce à sa clinique pré et postopératoire, ses unités de soins et son personnel compétent à l’écoute des besoins de la clientèle.
