Executive Assistant

Currently, we are searching for an Executive Assistant to join our Montreal Team. 

As the Executive Assistant, you will provide high-level administrative and operational support to specific family members located in the Montreal office and work closely with the Sr Executive Assistant to the Executive Chairman.

Key Responsibilities

  • Support the senior executives managing their agenda, mail, and other correspondences.
  • Coordinate logistics for meetings, appointments, events, and ensure all necessary materials are prepared in advance.
  • Schedule/reserve flights, hotels, transportation, restaurants, managing travel itineraries, and handling travel-related expenses. 
  • Prepare and draft reports, spreadsheets and, correspondence with minimal supervision.
  • Processing and tracking expenses, preparing expense reports, and ensuring accurate reimbursement. 
  • Maintaining follow-up systems to ensure replies are prepared and sent out within a designated time frame
  • Acting as a gatekeeper, point of contact and liaison between the executives and stakeholder
  • Help track progress on ongoing initiatives and deadlines to ensure timely completion.
  • Maintain accurate and organized filing systems, including sensitive and confidential information.
  • Assist Sr Executive Assistant when needed and being a back-up when Sr. Executive Assistant is absent.
  • Ensure all correspondence and documents are handled with discretion and in line with company policies.
  • Perform any additional administrative tasks or ad-hoc duties that may arise in the Executive office.

 Key Requirements

  • University degree or College (CEGEP) or equivalent experience in business administration or a related field.
  • At least 8 years of administrative support experience ideally in a real estate and/or finance environment.
  • Experienced working with and providing administrative support to senior executives
  • Exceptional organizational and time-management skills with the ability to manage multiple and competing priorities.
  • Strong communication skills in French and English, both written and verbal.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Ability to work with discretion and handle confidential information.
  • Attention to detail with a focus on accuracy.
  • Proactive, adaptable, and able to anticipate the needs of the Executives.
  • A positive attitude, strong work ethic, and the ability to work under pressure.
  • Proven track record of successful team collaboration.
  • Strong interpersonal skills.
  • Language required: French and English
